Who we are and what this covers
Contractor Front Desk (“we”, “us”) answers the phone for trades businesses. Our AI receptionist picks up their calls, books jobs, texts their crew and sends call summaries. We're based in Calgary, Alberta.
This policy covers contractorfrontdesk.com, our booking page, our demo line, the service we run for our customers, and our connections to apps like Jobber. It applies to two groups of people:
- Our customers: the businesses that use Contractor Front Desk, and the people who work there.
- Their callers: people who phone a business we answer for. For callers, we handle information on behalf of that business, and the business's own privacy practices apply too.
What we collect
When you book a call or contact us
Your name, business name, email, phone number, trade, city, crew size, the tools you use, how you heard about us, and the details of any meeting you book.
When you visit our website
We use PostHog analytics to understand how the site is used: pages viewed, buttons clicked, device and browser type, approximate location from your IP address, the page that referred you, and campaign tags (UTM parameters and ad click IDs). Session recordings mask everything typed into form fields, and we don't send what you type to analytics.
When you talk to our demo line
Calls and browser conversations with our demo receptionist are recorded and transcribed, along with the phone number you called from.
When you're a customer
- Account details: names, emails and phone numbers for you and your staff.
- Business settings: hours, service area, what counts as an emergency, prices you tell it to quote, and who to text or call.
- Billing details. Payments are processed by Stripe. We don't store full card numbers.
- Usage: number of calls, call length and similar records.
When we answer calls for a customer
The caller's phone number, the call recording, a transcript and summary, and what the caller tells us: usually their name, address, the problem, and when they'd like someone out. We also keep the texts and emails we send to the business about each call.
From connected apps
If a customer connects Jobber or another field-service app, we receive the data described in Jobber and other connected apps.
For business outreach
We collect business contact details from public sources, such as company websites, Google Maps listings, public licensing registries and job postings, to email trades businesses about our service. Every email has an unsubscribe link.
How we use it
- To run the service: answer calls, book jobs, text and call your crew, and send call summaries.
- To set up and test your receptionist, and to give you support.
- To check and improve call quality, including reviewing calls and testing changes before they go live.
- To bill you and keep accounts in good standing.
- To keep the service secure and prevent fraud and abuse.
- To tell you about our service. You can unsubscribe from marketing emails at any time.
- To meet our legal obligations.
Calls are handled with third-party AI services for speech recognition, language understanding and voice. We don't use your call data to train our own AI models.
We don't sell personal information, and we don't rent or trade our lists.
Jobber and other connected apps
A customer can connect Contractor Front Desk to Jobber (and, where offered, other field-service apps) so the receptionist can work from the same schedule and client list as the office.
- How it connects: you approve the connection on Jobber's own sign-in screen. We receive an access token from Jobber, never your password.
- What we access: only what the integration needs. That can include clients and their contact details and property addresses, requests, quotes, jobs and visits, and your team's schedule and availability.
- How we use it: to recognise returning callers, check when your crew is free, create requests, jobs or visits from calls, and attach call notes. We use it only to provide the service to the business that connected it.
- What we don't do: we don't sell this data, use it for our own marketing, or share it with other customers.
- Disconnecting: you can disconnect at any time from your Jobber account or by emailing us. We stop accessing your Jobber data right away, delete the access token, and delete data we copied from Jobber within 30 days, unless you ask us to keep it or the law requires us to.
Jobber is a trademark of its owner. We connect to it; we're not affiliated with it. Your use of Jobber is governed by Jobber's own terms and privacy policy.
Call recording
Calls answered by Contractor Front Desk are recorded and transcribed so the business gets an accurate summary and can check what was said. Our customers decide how their greeting sounds and are responsible for telling their callers that calls may be recorded wherever the law requires it. We can include that notice in the greeting.
Where your information is stored
We and our service providers store and process information in Canada and the United States, and providers may access it from other countries. Information stored outside Canada is subject to the laws of the country where it is held.
How long we keep it
- Customer accounts, call recordings and transcripts: while the account is active. A customer can ask us to delete recordings sooner.
- After a customer cancels: we delete their call data within 90 days, unless the customer asks for an export first or the law requires us to keep it. Backups are overwritten on their normal schedule.
- Prospects and booking requests: until you ask us to delete them or stop contacting you.
- Billing records: as long as tax and accounting law requires.
How we protect it
Data is encrypted in transit, access is limited to the people who need it to run the service, and connection tokens for apps like Jobber are stored securely and never shown in the browser. No system is perfectly secure. If a breach puts your information at real risk, we'll tell you and the authorities as the law requires.
Your choices and rights
- You can ask to see, correct or delete the personal information we hold about you, or withdraw your consent to how we use it.
- You can unsubscribe from marketing emails with the link in any email.
- You can block or clear cookies and local storage in your browser. The site still works without them.
- If you're a caller, contact the business you phoned. You can also email us and we'll help.
Email hello@contractorfrontdesk.com and we'll reply within 30 days. If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada. If you live somewhere with other privacy rights, such as some US states, we'll honour those rights where they apply.
Children
Contractor Front Desk is a service for businesses and isn't directed at children. We don't knowingly collect information from anyone under 18 except as a caller to a business we answer for.
Changes to this policy
When we update this policy, we'll change the date at the top. If a change is significant, we'll email our customers before it takes effect.
